The Legal Affairs Office supports the activities of the Management, assisting the Directors in their institutional functions, both internal and external, at national and international level, and providing assistance to the Laboratories and Offices in carrying out their tasks. It manages the administrative aspects of legal disputes, including the assignment of mandates to external lawyers, and directly assumes legal representation in cases permitted by law. It also collaborates with the relevant office in preparing tender documents for insurance coverage and in managing claims involving Institute personnel.
Another area of activity concerns data protection: through the Privacy and Data Protection Unit, the Office provides support and cooperation to the Data Protection Officer (DPO) appointed by the Institute in managing all relevant activities. In collaboration with the Disciplinary Proceedings Office (U.P.D.), it also oversees the disciplinary procedures under its remit. It handles and monitors legal cases and issues pro veritate opinions.
Closely connected to these functions, the Executive Secretariat assists the Directors in carrying out institutional tasks, managing both internal and external correspondence and organising their agendas. It supports the Director General, the Health Director and the Administrative Director in planning their respective activities. It also organises and manages client reception and meetings, handles telephone communication with internal and external users, updates contact lists and stakeholder directories, and manages incoming and outgoing information flows, correspondence, and the archiving of documents, both in paper and digital format. Furthermore, it acts as a filter and mediator in relationships between different organisational levels, analysing needs and reporting them to top management.
The Office is also responsible for the administrative and technical management of the Institute’s fleet of vehicles and service cars, ensuring their preservation, proper use, and both routine and extraordinary maintenance. Finally, it oversees reception services and visitor access control, and handles the routing of incoming and outgoing phone calls.
